Corporate gala: ideas for visuals that people remember
A corporate gala is a formal evening at which a company presents itself to employees, partners and clients: with an official part, awards and entertainment. Music, lighting and visuals decide whether it will be remembered as "another dinner" or as an event. We show how to plan the schedule of a gala, what screens do in each item of the programme, and how to tell the story of a company anniversary on them.
What is a corporate gala and what are the occasions
A gala differs from an ordinary company party by its script: it has an official part, a host, items of the programme in a fixed order, and visuals that underline the importance of the evening. The most common occasions are:
- company anniversary: a round anniversary, a summary of the journey and thanks,
- awards ceremony: for employees, partners, distributors or in an industry competition,
- summary of the year: results, plans and distinctions,
- partner or charity gala: an evening for clients, sponsors or fundraising for a social cause.
Each of these occasions needs different content on the screens, but the same basic structure of the evening works for all of them.
Galas and corporate events in numbers
Corporate and incentive events are the biggest part of the Polish meetings market. According to the report "The meetings and events industry in Poland 2026" (in Polish), they made up nearly 53% of the 18,596 meetings and events identified in 2025 [1]. These are hundreds of galas, anniversaries and award evenings, all competing to be remembered.
Gala schedule: the role of screens in each item of the programme
The best galas treat screens as a stage design that changes together with the programme. Lay out the evening in items and match the content and the person who switches it to each one. Such a table is a ready script for the video operator.
| Item of the programme | What is on the screens | What to watch |
|---|---|---|
| Arrival of guests | identity of the event, welcome, plan of the evening; animated background at the photo backdrop | place the screen at the entrance so that it does not block the passage |
| Opening | opening film, countdown, a slide with the name of the host | dimmed light in the room, a dark background on the screen |
| Speech of the management | logo and slogan of the evening or a few slides with numbers | short slides, readable from the last tables |
| Awards | category, nominees, winner on the full screen | order of slides matching the cards of the host |
| Dinner | calm animation, photos from the year or from the evening | no sound and no fast changes of image |
| Thanks | partners, sponsors, team | current logos in good quality |
| Performances | background fitted to the artist or the mood | agree the content with the artist before the rehearsal |
| Dance part | animated background or photos from the evening | never an empty desktop or a player window |
The host and the video operator should have the same script. We write about how to choose and prepare the person who leads the event in the article speaker and host (MC).
Company anniversary: how to show history on screens
A company anniversary is a gala in which the main content is history. Guests want to see where the company came from, who built it and where it is going. Screens let you tell this with images, not with long speeches.
Timeline
The milestones of the company shown year by year: the first office, the first big client, new markets, important products. Several vertical screens placed along the room can work like an exhibition: each shows a different period, and guests walk from one to another.
Archive photos and recordings
Old photos of the team, press clippings, the first logo. Collect them early, because archives are often scattered. Scanned prints are worth fitting to the format of the screen, not stretching.
People and thanks
A wall of thanks with the names of employees with the longest service, short recordings from clients and partners, photos of teams. This is the moment that guests remember best.
Looking to the future
It is good to close an anniversary with a plan for the next years: a new product, a direction of growth or a slogan for the next chapter. The screen behind the stage is a natural place for such an announcement.
We know how much such a story means: we have been creating events for more than 21 years. More about us.
Ideas for placing screens
- LED wall behind the stage
- The main element of the stage design: a screen made of modules, on which the "action" of the evening happens. See the LED wall of five modules: 3.20 × 1.92 m, 2080 × 1248 px. It has a 5:3 aspect ratio, so we adapt 16:9 content to it before the event.
- A rhythm of vertical screens in the room
- Several vertical screens placed along the room, showing the same image. It creates a consistent decoration and makes guests at the farther tables feel close to the action. This is the separate group configuration.
- LED poster at the entrance
- A vertical LED poster with the welcome and the plan of the evening.
- Screen between the tables
- A folded screen measuring 0.64 × 1.20 m shows the image from two sides, so it is seen by guests sitting on both sides.
- Screen at the photo backdrop
- An animated background that turns an ordinary photo into a souvenir of the event.
Content for a gala: what works
- One visual identity on all screens: colours, typography, the logo of the event.
- Dark backgrounds. In the dimmed light of a gala, bright white slides dazzle guests and look bad in photos.
- Large photos of winners instead of long lists of names.
- No fast flashes. Strobe effects on the screen are worth replacing with smooth animations. The WCAG guidelines limit flashes to three per second because of people with photosensitive epilepsy [2].
- A script for the operator. A list of slides and films in the order of the programme, with the moments of transition.
Technology worth asking about
At a gala, guests usually sit at different distances from the stage. Barco suggests a simple rule of choice: the optimal viewing distance in metres is about twice the pixel pitch of the screen in millimetres [3]. For screens that stand close to the tables, it is therefore worth choosing a fine pixel pitch. Our modules have a fine 1.53 mm pixel pitch (P1.53).
Also ask about the installation time. At a gala the room is often available only a few hours before the event, and free-standing screens that arrive ready are installed much faster than structures. We install ours in as little as 15 minutes, depending on the number of modules.
Preparing for a gala: order of steps
- Concept of the evening. Theme, colour scheme, mood: the look of the screens comes from them.
- Script of the programme with a split into moments and transitions.
- Plan of the room with the layout of tables, the stage and places for screens.
- List of content: slides, films, photos of winners, partner logos, in the resolution of the screens. If you do not have ready graphics, we help prepare them.
- Dress rehearsal with the host, the video operator and the lighting operator.
The budget of a gala is split into the venue, catering, artists, the host, decorations and technology. What the cost of screens consists of, we explain in the article how much does LED screen rental cost. If the gala is part of a larger event, see also the guide to conference planning.
The most common mistakes in gala visuals
- Bright white slides in dimmed light, which dazzle guests.
- Long lists of names instead of photos and short captions.
- Content prepared in a different format than the screen: a stretched logo, cropped photos.
- No plan for the dance part, when the screen suddenly shows an empty desktop.
- Screens placed so that guests at the farther tables see only their side.
Questions
How do I create an impressive stage design for a corporate gala?
Choose a stage design that changes together with the programme: LED screens behind the stage and placed around the room show different content for the welcome, the awards, the performances and the dance part. One consistent visual identity joins all the elements.
What should I show on the screens during a gala?
The welcome and the identity of the event, nominations and winners, films that sum up the year, thanks to partners, photos from the evening and an animated background for the dance part.
What is a corporate gala?
A corporate gala is a formal evening organised by a company for employees, partners or clients, with an official part and an entertainment part. The occasion can be a company anniversary, an awards ceremony, a summary of the year or a partner gala.
How do I organise a company anniversary?
Start with the story you want to tell: milestones, people and clients. Collect archive photos and recordings, plan a timeline on the screens, thanks to the team and partners, and a moment that looks to the future. The rest of the programme is built as for any gala.
How far in advance should I plan a corporate gala?
The first things to book are the venue, the host and the artists, because they are the hardest to replace. It is worth ordering the visuals when you know the venue and the general programme, and finalising the content for the screens before the dress rehearsal.
How long should the official part of a gala last?
As long as needed, but no longer: guests also came for dinner and conversation. It helps to split it into short blocks mixed with performances or films, and to show photos of the winners on the screen instead of reading long lists aloud.
What is the difference between a gala and a team-building party?
A gala is formal, with a script and an official part, often with awards and guests from outside. A team-building party focuses on shared fun and team activities, and the programme can be more relaxed.
